Dear Prospective Offerors,
The Us Embassy Dakar would like to organize a meeting for 40 participants from September 21 to -23. 2022 could you please send us two (2 ) separate quotations for Accommodation rooms and conference package :
1 – quote for Accommodation of rooms
rooms with full board for 40 people from September 21 to 23 , 2022
Please noted that the reserved rooms will be paid for individually , CDC has no financial liability for booked rooms. However, the hotel is required to confirm the availability of rooms on theses dates and
participants will need to confirm one (1) week prior to the event date.
2 a quote for – Conference Room Package
September 21
- One (1) Room that can accommodate up to 15 persons : room to be available at 15:00
from September 22 , 2022 to September 23 , 2022 :
- One (1) Conference Room that can accommodate up to 80 participants : Room to be ready at 8:00 am
- One (1) break out Room that can accommodate up to 40 participants
- Set up in U
- Social distancing measures in the conference rooms
- Spacing between pax in the big room, 2 chairs ( 80 pax)
- Spacing between pax in the breakout room, 1 chair between pax( 40 pax)
The rooms should have:
- Individual Microphones
- Water bottles at AM and PM
- HDMI cables of 15m in each room
- Extra extension leads
- Signage for meetings venue
Catering: for program days
- Coffee break AM and PM (Mix of salty and sweet food, Drinks)There will be SO to serve pax
- Coffee break time to be respected as per agenda
- Social distancing in the restaurants
NB : The hotel should share with us COVID 19 mitigation measures in place
